3. How and why we use your information
| Purpose | Typical lawful basis |
|---|---|
| Register and verify your account and provide the portal | Taking steps at your request, performing our agreement with you and our legitimate interest in providing a secure member service |
| Maintain your profile and respond to your requests | Performing our agreement with you and taking steps at your request |
| Personalise opportunity and invitation relevance, segment member interests and help authorised staff prioritise appropriate follow-up | Our legitimate interests in operating a relevant member service and managing genuine follow-up, subject to our assessment of your rights; consent where separately required for direct marketing |
| Manage event invitations, responses and attendance | Taking steps at your request and our legitimate interest in operating member events; explicit consent where optional information reveals health or disability information |
| Respond to opportunity enquiries and arrange staff follow-up | Taking steps at your request and our legitimate interest in responding to genuine member enquiries |
| Send optional news and marketing | Your consent, which you can withdraw at any time |
| Protect the portal, investigate misuse and maintain audit evidence | Our legitimate interests in security, fraud prevention and accountable operations, and compliance with legal obligations |
| Establish, exercise or defend legal claims and meet regulatory requirements | Compliance with legal obligations and our legitimate interests |
We do not make decisions about you based solely on automated processing that produce legal or similarly significant effects. The portal does not provide automated investment advice.
If you answer the optional investor-profile questions, the portal applies a documented points mapping to five answers to produce an indicative commercial-priority score for authorised staff. Investment interests are used as matching tags and are not scored. Blank and “Prefer not to say” answers remain unknown rather than being treated as zero. The score does not determine investment eligibility, suitability or access automatically; staff must review the original answers and relevant context. You can review and change your answers in Your profile or object to this profiling by contacting us.
5. International processing
The portal's core authentication and data services use Amazon Web Services infrastructure in US East (N. Virginia). This means portal information may be processed in the United States as well as the United Kingdom. If you choose Google sign-in, Google may also process authentication data in accordance with its own privacy terms and global service infrastructure.
When information is processed outside the UK, we use an applicable UK adequacy regulation or appropriate contractual and organisational safeguards, such as the UK International Data Transfer Addendum or equivalent safeguards provided under our supplier agreements. You can contact us for more information about the safeguard relevant to a transfer.
6. How long we keep information
We keep information only for as long as it is needed for the purpose for which it was collected, to provide your membership, to record your choices, to resolve disputes and to meet legal, accounting, security or regulatory requirements.
When setting a retention period, we consider:
- whether your account or a related enquiry is still active;
- the sensitivity and amount of information involved;
- whether optional investor-profile information remains current and necessary for member follow-up;
- event-operational needs, including removing dietary and accessibility details when no longer required;
- the need to retain consent, suppression, security and audit evidence; and
- legal limitation periods and any obligation to preserve records.
Information that is no longer required is deleted, anonymised or securely restricted.
7. Your rights
Depending on the circumstances, you may have the right to:
- ask for a copy of your personal information;
- correct inaccurate or incomplete information;
- ask us to erase or restrict the use of information;
- object to processing based on legitimate interests;
- object to profiling based on legitimate interests and ask us to explain the information used;
- receive certain information in a portable format; and
- withdraw consent at any time, without affecting processing that occurred beforehand.
We may need to confirm your identity before acting on a request. Some rights are subject to legal exemptions, which we will explain if they apply.
8. Security, storage and cookies
We use access controls, encryption, monitoring and organisational safeguards designed to protect portal information. No internet service is completely secure, so you should use a unique password and tell us promptly if you believe your account has been compromised.
The portal uses technical storage needed for authentication, security and core service operation. It does not currently use advertising cookies or third-party behavioural advertising. If optional analytics or marketing technologies are introduced, we will update this notice and provide any consent controls required by law.
The service is intended for adults and is not directed at children under 18.
